The Manage Licenses page can only be accessed by Organization Admins via a link in either the Banks or Dashboard pages.
What can I find on the Manage Licenses page?
This page lets you track which users have licenses assigned to them, as well as view key details such as start dates, expiration dates, and license types. This is also where administrators can generate new licenses or renew existing ones.
Here, you can view the following information:
- Add licenses button: Allows you to add licenses.
- Activation ID: The license code.
- Start Date: When the license becomes active.
- Expiration Date: When the license expires.
- Copies: Number of computers the license can be used on.
- License type: The type of license assigned.
- Assigned to: The e-mail address of the user the license is assigned to.
- Renew link: Lets you renew the license.
- Download CSV archive: CSV download option. The downloaded file will contain both active and expired licenses.
- Number of monthly term credits used.
- Bank Start and Expiration dates.
| NOTE: Renewals normally follow the previous settings (for example, a 1-month license renews for another month). However, the bank expiry date is the priority limit. If the bank date expires sooner, the license will only remain valid until that date. |
How do I generate and assign licenses?
Follow these steps to generate new licenses and assign them to users. This ensures that licenses are correctly configured with the right type, duration, and recipient details.
- On the Manage Licenses page, click the Add licenses button.
- The Add Licenses window will open:
- In the License Type field, select the type of license:
- Node Lock/Standalone: An individual license activated on one machine.
- Multiseat: One license key that can be activated on a specified number of machines.
- Floating: A license installed on a server and shared by multiple client machines.
- In the Number of Months field, choose the number of months you wish to provide the user.
- In the Number of Licenses field, enter the number of licenses.
- In the Start Date field, set the date when the license becomes available for activation.
- In the Timezone field, choose the timezone for the time-related details.
- In the Assign to User field, enter the recipient’s e-mail.
- Click Add. A confirmation window will appear:
- Review the details, including how many credits will be deducted from your bank.
- Click Confirm when done.
| NOTE: 1 month = 1 credit. If your organization purchased 100 Flex Licenses, that is equivalent to 100 credits. |
How do I renew licenses?
Follow these steps to extend active license terms.
- On the Manage Licenses page, click the Renew link next to an active license.
- The Renew window appears:
- In the Number of Months field, enter the number of months you want to renew for.
- In the Number of Licenses field, enter the number of licenses if your license is Multiseat.
- At the bottom, verify the number of credits that will be deducted from your bank.
- Click Confirm when done.
| NOTE: A renewal can also be done using the Extend button, found next to the Return or Assign buttons. |
How do I reassign licenses?
If an assigned license is no longer needed, an administrator can reassign it to another user in the organization before it expires.
Step 1: Return a license
Follow these steps to return a license.
- On the Manage Licenses page, click the Return link next to an active license.
- The Return window appears:
- Verify the license Activation ID and the user e-mail.
- Click Confirm when done.
Step 2: Reassign the license
Follow these steps to assign a returned license to a new user.
- On the Manage Licenses page, click the Assign link next to a license.
- The Assign window appears:
- Verify the license Activation ID.
- In the field, enter the user's e-mail.
- Click Confirm when done.
| NOTE: The Assign Licenses feature is only available for banks using product version 25.1 or later, and is configured with portable licenses. If you don’t see the Return or Assign links for a license, please see How do I contact Toon Boom support?. |
