The Toon Boom Enterprise License Portal (ELP) is a web platform for organizations to view and manage Harmony and Storyboard Pro Flex Licenses. With the ELP, you can easily activate, track, and renew licenses, as well as add users and assign licenses to your team.
In this article, you will learn how to manage Flex Licenses as an Organization Admin and understand the end-user experience associated with the ELP. The article also includes important information around Flex Licenses management, specifically in relation to expiration rules.
Registering as a Portal User
Once your organization purchases Flex Licenses, you will receive an invitation email from Toon Boom or your Organization Admin to join the ELP.
Do one of the following to access the Portal:
- Follow the instructions in the invitation email.
- Go to license.toonboom.com and sign in with your Toon Boom ID.
Upon signing in to the Portal, you will see two sets of navigation on the left: Manage Workspace and Manage Organization.
Manage Workspace section
The Manage Workspace section is where you can view and manage the licenses assigned to you by your organization. It provides a personal dashboard that shows which licenses are available, along with the details needed to download and activate software.
My Assigned Licenses
This page lists all licenses allocated to you by your administrator.
You will find the following details here:
- Product name
- Activation ID
- Start date (when the license becomes available for activation)
- Number of computers the license can be used on
- Expiration date
- Software download links for different operating systems
Manage Organization sections
The Manage Organization sections are designed for administrators who oversee licenses at the company level. It provides tools to monitor license activity, allocate resources, and manage users across the organization.
Dashboard
This page gives you a high-level overview of your organization’s license usage.
Here, you can view the following information:
- Product name
- Number of remaining monthly term credits
- Bank expiration date
- Link to manage licenses
Manage Banks
This page shows the pool of Flex License credits your organization has purchased. It helps you track allocations, monitor usage, and refresh available credits as needed.
You will find the following details here:
- Product name
- Number of monthly term credits purchased or requested
- Number of monthly term credits granted
- Start date
- Expiration date
- Number of used monthly term credits
- Link to manage licenses
- Button to refresh banks (updates the view with the latest available term credits)
| WARNING: Once the expiration date passes, any unused term credits will be lost. |
Manage Licenses
This page lets you track which users are assigned licenses and view key details such as start dates, expiration dates, and license types. This is also where administrators can generate new licenses or renew existing ones.
Here, you can view the following information:
- Button to add licenses
- Activation ID
- Start date (when the license becomes active)
- Expiration date
- Number of computers the license can be used on
- License type
- Assigned user email
- Renew license link
- CSV download option (The downloaded file will contain both active and expired licenses)
- Number of monthly term credits used
- Bank start and expiration dates
| WARNING: Licenses cannot be deactivated or returned once assigned. |
| NOTE: Renewals normally follow the previous settings (for example, a 1-month license renews for another month). However, the bank expiry date is the upper limit. If the bank expires sooner, the license will only remain valid until that date. |
How to Generate and Assign Licenses
Follow these steps to generate new licenses and assign them to users. This ensures that licenses are correctly configured with the right type, duration, and recipient details.
- Click the Add licenses button on the Manage Licenses page.
- Select the type of license:
- Node Lock/Standalone: An individual license activated on one machine.
- Multiseat: One license key that can be activated on a set number of machines.
- Floating: A license installed on a server and shared by multiple client machines.
- Choose the number of months you wish to provide the user.
- Enter the number of licenses.
- Set the start date (when the license becomes available for activation)
- Enter the recipient’s email address.
- Click Add.
- Review and confirm the details, including how many credits will be deducted from your bank.
| NOTE: 1 month = 1 credit. If your organization purchased 100 Flex Licenses, that is equivalent to 100 credits. |
- Click Confirm.
How to Renew Licenses
Follow these steps to extend active licenses for additional months.
- Click the Renew link on the Manage Licenses page.
- Enter the number of months (and licenses if your license is Multiseat).
- Verify the number of credits that will be deducted from your bank.
- Click Confirm.
Reassign Licenses
If an assigned license is no longer needed, an administrator can reassign it to another user in the organization before it expires.
How to return a license
Follow these steps to return a license.
- Click the Return link on the Manage Licenses page.
- Verify the license Activation ID and the user email.
- Click Confirm.
How to assign a returned license
Follow these steps to assign a returned license to a new user.
- Click the Assign link on the Manage Licenses page.
- Verify the license Activation ID.
- Enter the user's email address.
- Click Confirm.
| NOTE: The Reassign Licenses feature is only available for banks using product version 25.1 or later, and configured with portable licenses. If you don’t see the Return or Assign links for a license, please see How do I contact Toon Boom support?. |
Manage Product Versions
This page lets administrators control which builds of Toon Boom products are available to their teams. Customization options allow you to restrict access to specific builds if required.
- Disabled: all builds are accessible.
- Enabled: only selected builds are available.
Manage Users
This page is where administrators add or remove team members from the ELP. It also defines user roles and controls what each person can access within the portal.
| NOTE: A user can belong to only one organization at a time. If a company has multiple organizations in the ELP and wants to reassign a user, that person must first be removed from the original organization (provided they do not still hold licenses there) before being added to the new organization. |

- User status (Active or Inactive)

- Admin: Gives the user the same permissions as the original administrator of the portal.
- Regular User: Allows the user to only access the assigned licenses and their downloads.
- User action dropdown button (Here you can change a user’s status or role, or delete the user)
How to Add a User
Follow these steps to invite new users to your organization.
- Click the Add User button on the Manage Users page.
- Enter the user’s email address.
- Click Invite.
- The user will receive an email invitation to sign in with a Toon Boom ID (or register if they don’t have one).
Studio Artist or Freelancer Dashboard
This page displays all licenses that have been assigned to the user by their Organization Admin. From here, users can review license details and download the software for their operating system. They will be notified by email whenever new licenses are assigned to them.
The following details are shown on this page:
- Product name
- Activation ID
- Start date (when the license becomes available for activation)
- Number of computers the license can be used on
- Expiration date
- Software download links for different operating systems
