How do I add students in bulk using CSV import?

The following steps will help you add multiple students at once by uploading a CSV spreadsheet from your Team dashboard.

Step 1: Open the import tool and download the CSV template

  1. Log in to courseware.toonboom.com.
  2. In the left-hand navigation, find the Progress team dashboard.
  3. In the Team dashboard, click the Bulk Import button.

  4. Click Download CSV Template to download a blank spreadsheet formatted for the import tool.


     

  5. Open the template in your preferred spreadsheet application (Microsoft Excel, Google Sheets, etc.).

Step 2: Fill in the template

  1. The template includes the following columns:

    • First Name: You can use the student's real name, a student ID, or an anonymous identifier.
    • Last Name: Same as above.
    • Email: You can use a real email, a school-provided email, or a generic placeholder email. Note that each student needs a unique email. Duplicates will be ignored.
  2. Fill in the template while following these guidelines:
    • Enter only one student per row.
    • Make sure there are no blank rows between students.
    • Do not modify the column headers.
    • Save the file as a .csv file.
NOTE: You decide how much student information to enter. You can use student IDs, anonymous names, or generic emails, whatever aligns with your school's privacy requirements. Students only need a username and password to access the courseware.
TIP: If you are using Microsoft Excel, select File > Save As and choose CSV (Comma delimited) as the file type. If you are using Google Sheets, select File > Download > Comma-separated values (.csv).

Step 3: Upload the CSV

  1. Return to the Bulk Import tool on your Team dashboard.
  2. Click Choose File (or Browse) and select your saved CSV file.
  3. Select the User Group to assign the students to (e.g. "Springfield High School - Class 01").
  4. Click Add Users to Team.
  5. Wait for the import to complete. You will see a confirmation with the number of students added.
NOTE: Passwords will automatically be generated and emailed to the addresses listed in the file.
WARNING: Save the log file. The log file contains the list of users created along with the password generated for each one of them.

Step 4: Passwords tips for imported students

Students added via bulk import will receive a login email from the platform with an automatically generated password. However, many school networks block external emails.

Recommended approach: 
Download the log file upon import to get the password list. If you do not have the log file, reset passwords for your students and distribute them directly. See How do I reset student passwords? for step-by-step instructions.

Question:

Why is my CSV upload not working or showing an error?

Answers:
  • Make sure the file is saved in .csv format (not .xlsx or .xls).
  • Make sure the column headers match the template exactly. Do not rename, add, or remove columns.
  • Check that there are no blank rows or special characters in the data.
  • Try with a smaller test file (one or two students) to confirm the import tool is working.
  • Some students may already exist and cannot be added a second time - these rows will be marked and displayed in the logs.
Question:

I uploaded students but they are not in the correct class?

Answer:

Check which user group you selected during the upload. If the wrong group was selected, you can remove the students and re-import them with the correct group, or manually update their group assignments from your Team dashboard.
